These terms and conditions outline the rules and regulations for using MI Adventures’23 services. By accessing our services, you accept and agree to be bound by these terms and conditions. Please read them carefully before booking trips with us.
1. Applicability of Terms and Conditions
These Terms and Conditions govern the relationship between the Client (referred to as “you”) and MI Adventures’23 LLC, its shareholders, directors, officers, employees and affiliates, 3rd party vendors, service providers, trip leads, volunteers, local partners and their representatives, contractors, employees (collectively "MI Adventures’23") Terms and conditions apply, When you book a tour or service with us. By booking a trip with MI Adventures’23, you automatically agree to be bound by these Terms and Conditions. These terms outline your rights and obligations while planning, booking and participating in any of our services.
In this agreement,
a) Adventure trips are referred to recreational activities including but not limited to: high altitude treks, hiking, expedition style treks, road trips, treks, swimming, kayaking, sailing, via Ferrata, canoeing, rafting, hiking, walking, snowshoeing, bicycling, camping, hiking in snow etc, which are organized by MI Adventures’23.
b) Destination country refers to the country you are travelling to, when you enroll for a trip. Home country refers to where you reside currently at the time of enrollment of the trip.
c) All the terms and conditions of the MI Adventures'23’s affiliate/international partner will be automatically applicable when you enroll in a particular trip including jurisdiction for disputes and all legal matters when you enroll for the trip.
2. Our Representations
- We are experienced in organizing and running trips domestically (within the US) and along with domestic and/or international partners in the destination country.
- We provide accurate and honest information about all our services. We strive to avoid any exaggeration or misrepresentation in our marketing materials.
- We operate and coordinate all international trips with local partners in that country However, certain elements like accommodation and flights are handled by trusted third parties.
- International partners will manage and coordinate from the moment you arrive at the destination until the point you depart from the same destination for your home country.
3. Use of Personal Information
We may require certain personal information from you to manage your trip effectively. This may include details such as your full name, age, nationality, passport information, dietary preferences, emergency contact and any relevant medical information. Some of this information may be shared with national park authorities or accommodation providers to secure permits or ensure your comfort and safety during the trip. We willl use your personal data for trip purposes only.
4. Communication and Contact Details
To ensure the authenticity of all communications and avoid fraud, we request that you contact us through the following official channels:

We take significant measures to safeguard our communications and will never ask for sensitive information through unofficial channels. Should you have concerns about the legitimacy of any communication, please contact us immediately.
5. Booking and Payment Process
To book a trip, you may contact us via phone or email. Once all details are finalized, you will receive an invoice and be required to pay a deposit to confirm your booking. MI Adventures’23 may charge a coordination fee (varies per trip) which shall be deposited to enroll in the trip.
5.1 Deposit and Confirmation
- Your trip will be confirmed once the coordination fee & deposit has been received as per payment schedule identified in the trip itinerary.
- MI Adventures’23 Coordination fee as specified in each trip shall be deposited 150 days before the start date of the trip, to enroll in the trip.
- MI Aventures’23 coordination fee is refundable within 30 days from date of payment as long as the cancellation date is NOT within 90 days of the departure date for the trip .
- A deposit of 15% of trip cost per client is required 150 days before the start date of the trip. For certain trips, a 30% trip cost is required to enroll in the trip 150 days before the start date of the trip which is specified in the trip itinerary .
5.2 Final Payment
- Full payment is required at least 90 days before the scheduled departure unless otherwise agreed in writing. Failure to complete the payment by the due date may result in cancellation, with applicable penalties as per cancellation policy.
- Transaction Fees: All transaction fees, including bank charges and credit card surcharges (typically 3.5%), must be covered by you.
6. Participation of Minors
- You must be 18 years or older to book a trip with MI Adventures’23. For minors under the age of 18, bookings can only be made by a parent or legal guardian, who must agree to all terms and conditions on the minor’s behalf.
- Minors must always be accompanied and supervised by an adult. The supervising adult will be responsible for the child’s behavior and any resulting damages.
- All necessary legal documentation and permits for minors for international travel must be arranged by the accompanying adult. MI Adventures’23 will not be held liable for issues relating to incomplete or incorrect documentation.
7. Pricing
- International trip pricing is negotiated, pricing based on the minimum number of clients for the respective trip. If we do not reach the minimum required group size then pricing may change.
- Domestic trips pricing is an estimate provided to you. Any additional expenses incurred need to be paid by the client.
- All published trip prices are based on double occupancy.
- Single supplement / occupancy will require extra cost in addition to the published price.
- Once a booking is confirmed, the published price will not increase unless external factors beyond our control necessitate an increase. These factors include but are not limited to changes in park and permit fees, government taxes, insurance, fuel costs or other mandatory tourism-related charges.

Should such changes occur, we will provide you with official notice and you may choose to:
- Cancel your booking with a refund, as per our cancellation policy.
- Proceed with the booking and pay the adjusted amount.
- The arrangements for accommodations and other services in multi-country trips are managed and paid for separately in each country. Therefore, if the duration of your stay in any country is extended or shortened due to unforeseen circumstances, the days cannot be transferred, interchanged or adjusted across other destinations.
- Final pricing / billing is based on the sign-up level at 90 days prior to the trip start date.
- All inclusions and exclusions are specified for each trip on the website.
- Anything not specified in “Inclusion” is excluded.
- Any extra costs incurred due to extension/change of the itinerary, because of natural calamities, flight delays, road blocks, vehicle breakdown, etc. factors beyond the control will be charged to the client.
8. Changes to the Trip Itinerary
- Client-Requested Changes: You may request changes to your itinerary, which we will try to accommodate if they do not incur additional costs. Any extra costs resulting from such changes will be your responsibility.
- Discontinuation of Tour: Should you decide to discontinue your trip voluntarily or involuntarily after the start of the tour, you will be responsible for any extra costs incurred (e.g., transportation or accommodation). No refunds will be provided for unused services.
- Company-Requested Changes: MI Adventures’23 reserves the right to alter the itinerary if necessary due to unforeseen circumstances such as weather conditions or other factors beyond our control. We will notify you as soon as possible.

- Please note that many domestic airlines typically do not allow changes to flight schedules without penalties. Additionally, hotels, guesthouses and lodges may impose fees or apply seasonal price differences for booking changes. You will be responsible for covering any additional costs resulting from unforeseen circumstances.
9. Cancellation Policy
- In the event that you need to cancel your tour, penalties may apply based on the cancellation schedule outlined below. These fees are necessary to cover non-refundable expenses charged by airlines, accommodation and transport providers and any other service providers. If the cancellation fees charged by service providers exceed the amounts listed below, the non-refundable portion may be adjusted accordingly.
- In any or all of the above scenarios, cancellation/rescheduling charges against air tickets will be applicable as defined by the Airline and will be borne by the client.
- All bank fees and transaction charges related to refund processing will be deducted from the refunded amount.

Domestic trips
- No refund will be issued for the domestic trips in case of any cancellation.

International trips
- Up to 90 days before the trip start date: A full refund of trip deposit.
- Between 90 to 60 days before the trip start date: A 70% refund of the trip price will be issued, less any cancellation fees incurred for additional services booked.
- Between 59 to 30 days before the trip start date: A 50% refund of the trip price will be issued, less any cancellation fees incurred for additional services booked.
- Between 29 to 15 days before the trip start date: 20% refund of the trip price will be issued, less any cancellation fees incurred for additional services booked.
- Between 14 to start date of trip & No Show : No refund will be issued.
- All bank fees and transaction charges related to refund processing will be deducted from the refunded amount.
- In the event that your health condition deteriorates and a MI Adventures’23 affiliate deems it necessary to abort your trip/ trips or summit attempt for your safety, please note that no refund will be issued.
- If the tour is aborted/cancelled/discontinued at any stage after commencement or on reaching the international destination, there will be no refund or compensation for any non-utilized service.
- If you are unable to enter your destination country for any reason, no refunds or rescheduling will be possible, as payments for accommodation, park fees and other services will have been made in advance.
- We strongly recommend purchasing comprehensive travel insurance that covers cancellations due to unforeseen circumstances such as illness or flight cancellations. MI Adventures’23 & associates will provide any necessary documentation to support your insurance claims.
10. Rescheduling of Trips
- If you wish to reschedule your trips instead of canceling, we will make every effort to reschedule your trips at no additional cost, subject to availability and park permits and will be at the discretion of MI Adventures’23.
- Rescheduling can be done up to 90 days before the start of your trips without penalty. After that, rescheduling may result in additional charges as per cancellation policies.
- We recommend securing comprehensive travel insurance that includes coverage for trip cancellations.
11. Cancellation by MI Adventures’23 and its affiliates
- In unlikely events that we must cancel your trip, we will offer a refund of payments you have made as per cancellation policy. Alternatively, we may offer the option to reschedule your tour at no extra charge.
- We strongly recommend purchasing comprehensive travel insurance that covers cancellations due to unforeseen circumstances such as illness or flight cancellations but not limited to. MI Adventures’23 & associates will try to provide any necessary documentation to support your insurance claims.
12. Domestic/International Flights
- Clients are responsible for purchasing international flight tickets to & from the destination of the trip.
- Clients will be responsible for any cancellation or rescheduling fees due to any reasons.
13. Transportation
- Transfers from and to the airport in the destination country are included in the trip cost.
- All other Internal transfers which are included in the cost, will be added in each trip and details will be shared on MI Adventures’23 website.
14. Travel Documents, Visa, Permit & Entry Requirements

It is your responsibility to ensure that you have all necessary travel documents for your trips which includes but is not limited to:
- A valid passport that remains effective for at least six months after your intended date of entry into the visiting country, with at least two blank pages for stamps and visas.
- The destination country’s visa
- Although MI Adventures’23 provides visa guidance, this should not be considered legal or definitive advice. We recommend checking with the embassy or consulate of the respective country for the most up-to-date entry requirements. Any costs associated with visas or other travel documentation are the responsibility of the client.
- MI Adventures’23 is not liable if you are denied entry into the destination country or any other country during transit.

The permits are issued by the respective authorities. To acquire permits for certain trips;
- We may request you to submit an electronic scanned colored copy of a valid passport along with a scanned passport size photograph.
- It is recommended that you also carry a physical copy of the same.
- MI Adventures’23 will work with affiliates / local partners to acquire permits.
- The cost of permits will be included in the trip cost.
15. Accommodation
Hotel Accommodation:
- Accommodation is typically provided on a shared basis in double or twin rooms with another client of the same gender. If you prefer a single room, please inform us at the time of booking and an additional charge for the single supplement will apply.
- Clients will adhere to check in and check out time as specified by the hotel. Extended stay can be accommodated based on availability, may be charged as per policy of hotels and must be paid upfront & directly by the client to the hotel.

Alpine Huts in Europe/ Guest houses in Nepal & China/ Mountain Refugio
Many remote locations during the hiking trip will use guest houses (only choice for an overnight stay) which can accommodate 70-90 guests. They are simple mountain huts that operate as lodging for hikers. One room may have 5/6 clients with separate beds. Clients staying with you may or may not be from the same group. These guesthouses may not have heat as well. Washrooms are common and may not be as clean as you would expect.
Tented Accommodation
- For expedition style trips, tents are provided on a shared basis, with two clients per tent. If you prefer a single tent, please request this at the time of booking and a single supplement fee will apply.
16. Meals during the trip
- Meals are organized during the trips as identified by the trip itinerary.
17. Fitness, Medical Information & Dietary Requirements
- You are responsible for ensuring that you are physically fit to participate in adventure trips. Underlying health conditions may be exacerbated during an adventure trip.
- We strongly recommend preparing physically for at least 6 months with an appropriate training plan for high altitude treks/hiking/trips.
- We recommend consulting a healthcare professional before embarking on any adventure to assess your fitness and health conditions. Ensure you undergo any necessary tests and obtain medications to manage or prevent altitude sickness, if applicable.
- MI Adventures’23 may request that you complete a medical form prior to your tour. If you have pre-existing health conditions that could impact your ability to participate safely, we may require a signed clearance from a licensed medical practitioner. Failure to provide the required documentation may result in the cancellation of your tour, with applicable cancellation fees.
- Any pre-existing medical conditions need to be communicated to MI Adventures’23 while enrolling for the adventure trips.
- If you have any special dietary or medical restrictions, please inform us at least 90 days before your arrival in the destination country. We will make reasonable efforts to accommodate your needs. However, MI Adventures’23 cannot guarantee that all special requests will be met and no refunds will be issued in such cases.
18. Vaccinations and Health Requirements
- MI Adventures’23 provides general, non-medical advice regarding vaccinations and immunizations that may be required or recommended for travel to the destination country. It is your responsibility to consult with a licensed medical professional to determine the necessary vaccinations and health precautions for your trip. We recommend seeking this advice well in advance before your departure.
- We do not recommend adventure trips to people with chronic problems like epilepsy, blood pressure, asthma, heart related issues or diabetes.
- We reserve the right to refuse participation in our trip if we believe your medical condition poses a risk to your safety or the safety of others. MI Adventures’23 reserves the right to cancel your participation without a refund, if false or incomplete medical information is provided.
- Any medical and evacuation expenses incurred during the trip, will have to be borne by the client.
19. Travel Insurance

Comprehensive travel insurance is mandatory for all clients participating trips organized by MI Adventures’23 and not included in trip cost. Your insurance should cover:
- Emergency medical expenses, including evacuation and repatriation.
- Trip cancellations, curtailments or delays.
- High-altitude trips/treks/expeditions (up to 6,000 meters or more depending on trips) and helicopter evacuation
- We strongly recommend ensuring that your insurance provider is aware of the specific nature of your trip and any potential risks involved.
- Since the requirements and costs of insurance vary across different countries, please contact your insurance provider to make sure that those requirements are covered and find out about the exact costs.
- MI Adventures’23 will provide assistance in the event of an insurance claim but will not be held responsible for the outcome of the claim or any delays in processing.
- Please share a copy of your insurance for our records for emergencies and keep the physical copy with you during the trip.
20. Trip lead and Guide Authority
- For your safety, it is essential to follow all instructions provided by MI Adventures’23 and its affiliates. The head guide’s decisions regarding trip, expedition logistics, team management, itinerary and other matters related to your trip are final.
- Trip leader/Head guide reserves the right to make a decision based on your physical condition or behavior poses a risk to yourself or others, they may require you to discontinue activities/ trip/ descend the mountain. You shall be accompanied by an assistant guide/volunteer/ if this becomes necessary to ensure your safety.
21. Liability for Damaged or Destroyed Property
If you damage or destroy any property belonging to MI Adventures’23 and its affiliates, including but not limited to tents, safari vehicles or any rental equipment, you will be liable for the costs of repair or replacement. Any claims related to damaged or destroyed property must be settled in the destination country before your departure.
22. Third-Party Accommodation Providers and Air Carriers
Certain parts of your tour, including accommodations and flights, may be provided by third parties. While MI Adventures’23 carefully selects its partners, we are not responsible for their performance. Your interactions with these providers are subject to their own terms and conditions and any claims arising from their services should be directed to them. We are not responsible for any issues related to the conditions of carriage with airlines or the terms set by accommodation providers.
23. Trip Communication through WhatsApp group
- MI Adventures’23 creates a WhatsApp group for fast and efficient communication for each trip.
- Clients will be added to the trip’s WhatsApp group only after transferring the coordination fee.
- All communication about the trip, information & arrangements are broadcasted on the WhatsApp group.
- Your family members may be added to the WhatsApp group based on your request prior to the start date of the trip.
- All members of the group are required to follow the posting guidelines
- Any trip announcements and changes in plan will be communicated through WhatsApp.
- Local partner’s representative and guides will be also added to the WhatsApp group to share important information and answer any questions you may have.
- Link to educational videos and articles will be shared in group description of the trip.
- In case a client cancels the trip, he/she will be removed from the trip's WhatsApp group to ensure the privacy of the group.
24. Personal Travel Expenses
- All extra services and charges such as helicopters, sightseeing, hotel and any other similar services which are not included in the trip cost will be booked only after the payment for the respectives service is confirmed. Any modification from the published itinerary will incur extra charges and need to be paid before the start date of the trip.
- The Client is responsible for covering personal travel expenses that are not included in your tour package, such as souvenirs, tips, extra meals and alcoholic beverages. MI Adventures’23 is not liable for any failure to budget for such expenses during your trip.
25. Gear for expedition style treks
- While group camping equipment is provided for expedition style treks, personal gear (such as clothing and boots) is not included.
- A list of required personal gear will be provided to you prior to the expedition. If needed, you can rent personal gear from a local partner at an additional cost
- All rental equipment are renewed regularly to ensure quality. Before starting your trips, our staff may inspect your personal gear to ensure it is suitable for the climb.
26. Luggage and Valuables
- We recommend that you keep valuables such as money, passport, travel document, electronics and personal items with you at all times.
- MI Adventures’23 is not liable for any lost, stolen or damaged personal property during your tour. If a client wishes, they can store valuables in the cloak room or in a secure, monitored location at local partner’s offices depending on availability at their own risk.
27. Photographic Release
- During your tour, photos, videos and other media may be captured by MI Adventures’23 staff and their agent and other clients.
- By joining our trip, you consent to the use of these images for promotional and marketing purposes. This includes use on our website, social media and advertising materials, without the requirement of any compensation to you.
- If you prefer not to be photographed or recorded, please inform our team in advance.
28. Marketing Emails
- We will let you know about any special offers or promotions that may be of interest to you, including our newsletter via the marketing method you have chosen.
- Recipients can opt-out at any time by clicking the unsubscribe link on the bottom of the marketing emails.
29. Force Majeure
MI Adventures’23 shall not be held liable for any delays, changes or cancellations caused by events beyond our control, including but not limited to natural disasters, wars, civil unrest, strikes, governmental actions, extreme weather or other circumstances that are unforeseeable and unavoidable.
30. Governing Law
- In the event of any disputes, they will be resolved under the law of the destination country and as per the terms and conditions of Affiliate of MI Adventures’23.
- MI Adventures’23 will not be a responsible party to any such disputes, settlement or any cost associated with it.
31. Client Agreement
All the clients are required to sign the client agreement.
32. Release From Liability
MI Adventures’23 LLC, its shareholders, directors, officers, employees and affiliates, 3rd party vendors, service providers, Trip leads, volunteers, local partners and their representatives, contractors, employees (collectively "MI Adventures’23 ") does not own or operate any entity which is to or does provide goods or services for your trip including, for example, ownership or control over hotels or other lodging facilities, airline, vessel, bus, van or other transportation companies, local ground operators, providers or organizers of optional excursions or equipment used thereon, food service or entertainment providers, etc. All such persons and entities are independent contractors. Independent contractors may utilize the MI Adventures’23 logo on signage or uniforms solely for identification purposes which does not signify MI Adventures’23 ownership, management or control.
As a result, MI Adventures’23 is not liable for any negligent or willful act or failure to act of any such person or entity or of any other third party. Without limitation, MI Adventures’23 is not responsible for any injury, loss or damage to person or property, death, delay or inconvenience in connection with the provision of any goods or services occasioned by or resulting from but not limited to, acts of God, acts of government, force majeure, acts of war or civil unrest, insurrection or revolt, strikes or other labor activities, criminal or terrorist activities of any kind or the threat thereof, overbooking or downgrading of accommodations, structural or other defective conditions in hotels or other lodging facilities, mechanical or other failure of airplanes or other means of transportation or for any failure of any transportation mechanism to arrive or depart timely or safely, diseases and dangers associated with or bites from animals, pests or insects, marine life or vegetation of any sort, dangers incident to adventure /recreational activities such as high altitude treks, hiking, expeditions style treks, road trips, treks, swimming, kayaking, sailing, via Ferrata, canoeing, rafting, hiking, walking, snowshoeing, bicycling, camping, hiking in snow etc., sanitation problems, food poisoning, lack of access to or quality of medical care, difficulty in evacuation in case of a medical or other emergency, illness, epidemics or the threat thereof or for any other cause beyond the direct control of MI Adventures’23. In addition, I release MI Adventures’23 from its own negligence and assume all risk thereof.
Acceptance of Adventure Travel Risks
I am aware that travel such as that I am undertaking involves hazardous activities, with a risk of illness, injury or death which may be caused by forces of nature, animals, insects or flora, the negligence of MI Adventures’23 or other persons and companies known or unknown or of willful or criminal conduct of third parties. I am aware that weather conditions may be severe, adverse and/or unpleasant. I am also aware that medical services or facilities may not be readily available or accessible during some or all of the time during which I am participating on the trip. In order to partake of the enjoyment and excitement of this trip I am willing to accept the risks and uncertainty involved as being an integral part of my adventure/trip. I hereby accept and assume full responsibility for any and all risks of illness, injury or death and of the negligence of MI Adventures’23 and agree to hold harmless and release MI Adventures’23 from claims of third-party negligence.
I understand the physical requirements of the activity in which I will be participating and I currently have no known physical, medical or mental condition which would impair my ability to participate in this tour or my safety in this activity and I am willing to assume all risks that may be created, directly or indirectly, by any such condition. I hereby authorize MI Adventures’23 or my local ground handler or others to arrange for any emergency medical treatment and hospitalization as may be necessary for me because of participation in this activity without my further consent.
- The weather can change dramatically causing rain, thunder- storm, flash floods, cloud burst, snow fall and severe drop in temperatures, causing severe physical hardships.
- By participating in a MI Adventures’23 adventures/trips, you acknowledge that you may be traveling to remote areas where medical services and facilities may be limited or unavailable.
- The high altitude can cause Acute Mountain Sickness and may lead to serious critical medical conditions such as Cerebral or Pulmonary Edema.
